A calendar is a system used to organize and keep track of time. It divides time into days, weeks, and months, helping people plan events, appointments, and activities. Here you can view your appointments for your customers even you can schedule their appointment with you, you can also set up schedule of event and class for your audience.
Let’s understand how the calendar functions using the timing scenario provided below.
Suppose we are setting up the business hours for appointments on Monday to start at 9:30 AM and end at 12:30 PM, with a break from 10:30 AM to 11:00 AM. Appointments are not available on other days, as those days are closed.
Based on the timing scenario provided above, the calendar will appear for the active hours as shown below.
White area indicates the active hours (9:30 AM to 10:30 AM and 11:00 AM to 12:30 PM) during which appointments can be scheduled. The grey area shows the non-working hours when appointments cannot be requested by the audience.
You can navigate calendar by clicking on ‘Today,’ ‘Back,’ and ‘Next’ (Green bordered). You can also switch the view between month, week, and day (Orange bordered).
The calendar section displays your appointments. You can edit and reschedule them as needed, and your appointee will be notified of any changes.
Additionally, you can add new appointments, services, customers, or team members from this section. Simply click the ‘+’ icon located at the top right, and you will see multiple options to choose from based on your requirements.
If you need to schedule an appointment or event, look at the White area in the calendar, which indicates active hours. However, an admin or owner is authorized to book special appointments outside of working hours through the admin panel which is showing in the screen shot above. Click the left mouse button, and you will see options to book an appointment, event, class, and others, depending on your profile plan. These options are shown in the screenshot below.
It shows options for appointments; however, you can switch to events or classes as well. You can add new events or classes from the “Settings” section in the left-side menu, under “Services & Classes,” by clicking on the ‘+’ icon.
You can assign a name for your appointment or event, such as “Yoga Camp” or any other name relevant to the event.
For appointments, a service can be selected. For example, if it’s a Yoga Class, you might offer services like “Child Yoga Class”, “Special Weekend Yoga Class”, etc. You can add these services from the “Settings” section in the left-side menu, under “Services & Classes”. The cost and duration will be displayed as a hint once you select the service.
Next, you can select the team member who will be providing the service.
Then, add the platform for the location where you and your appointee will meet. This could be a communication tool like Google Meet, Zoom, Microsoft Teams or any other service that can be integrated with the platform. You will find the option to add these tools on the right side of the screen under the name “Connect Calendar.”
You will need to select the list of your customer and then individuals from the list you wish to notify about the scheduled appointment.
The notifications will be sent to the selected persons via email or SMS according to your preference.
You can also choose to send a notification 1 day before or 10 minutes before, depending on the options available during the date and time selection for the appointment booking.
Just click Save and it’s done.
